Accreditation in the City of Buenos Aires
Event accreditation in Buenos Aires
Bringing a congress, a trade fair or a corporate event to Buenos Aires? PASE is the QR accreditation system of SOMOS DER, an event production company based in the city. Each attendee registers in advance on a landing page, gets a unique QR code by email, and at the door it is scanned with a phone camera, with no app to install. The system blocks double entries, prints badges on site and shows in real time how many people are in. Because the team is in Buenos Aires, there are no travel costs inside the City.
A city that runs on congresses
Buenos Aires is the strongest meetings destination in the Americas. In the ICCA (International Congress and Convention Association) ranking for 2023, the City came first in the Americas for the 13th time, with 90 qualifying events, and 14th in the world. The City's Tourism Board published it (in Spanish). For the door, that means two things: many attendees travelling from other provinces and countries, and organizers who need clear numbers for sponsors and scientific societies.
Where the big events happen
Buenos Aires Convention Center (CEC). In Recoleta, at Figueroa Alcorta and Pueyrredón. It opened in 2017 and holds about 5,000 people, with a plenary hall, an auxiliary hall, meeting rooms and a 1,600 m² foyer (source: Buenos Aires Tourism). It is the classic congress layout: a plenary plus parallel sessions.
La Rural exhibition center. At Sarmiento 2704, with pavilions, outdoor areas and its own convention center. Trade only fairs and fairs open to the public both take place there (source: La Rural). The City describes it as the largest venue in the country for trade fairs and exhibitions (source: Buenos Aires Tourism).
University auditoriums and hotel ballrooms. The same official guide also lists venues such as university auditoriums and hotel function rooms for smaller meetings. PASE works the same in all of them: what changes is how many doors there are and how many people arrive at once.
What gets tricky at the door here
Attendees from abroad. At an international congress, many people come straight from the airport with no mobile data, or registered with an email they no longer check. That is why it pays to send the QR days in advance, check the delivery status of each email in the dashboard and resend it to whoever did not get it. At the door, search by name solves the attendee who cannot find the code. The registration page and the QR email also work in English: the page follows the browser language, and adding ?lang=en to the link you share forces English.
The opening peak. Most people arrive in the hour before the plenary. With registration done beforehand, the door only scans, and the live report shows how many people each checkpoint is processing so you can move operators in time.
Halls and session rooms. In an exhibition center or convention center there is a main entrance and then rooms, pavilions or exhibitor areas. The main entrance uses up the access once and the rooms only validate it, so people can come and go without inflating the count.
Several days. Congresses and fairs in Buenos Aires usually run two or three days. The first day concentrates the peak and the badge printing; after that the line drops, but keep an exceptions desk open.
Signal in large venues. PASE validates online so every door is in sync. In crowded halls mobile networks saturate, so ask the venue for a stable connection and bring a backup data plan.
How it is set up
- You define categories (attendee, speaker, sponsor, press, staff) and areas.
- You publish the registration landing; each registrant gets a unique QR code by email.
- Checkpoints are configured and tested before the event.
- On the day, codes are scanned from the phone browser or with a reader, and badges are printed.
- At the end you get the final report and an exportable attendee database.
Which plan usually fits
Each event is quoted by attendees, access points and support. Prices are reference prices in US dollars, invoiced in Argentine pesos at the exchange rate of the day.
- Base, from USD 600 (up to 500 attendees): 1 access point, live report and remote support, no operators.
- Pro, from USD 1,500 (500 to 2,000 attendees): up to 4 access points, on site support for one day, 2 operators included and on site badge printing.
- Enterprise, quoted (more than 2,000 attendees): for large exhibitions and congresses.
Extras: additional operator from USD 100 per day and accreditation supervisor from USD 160 per day. No travel or transport costs inside the City of Buenos Aires. The quote arrives within 24 business hours. Full details on the pricing page.
Frequently asked questions
Do you charge travel costs for an event in the City of Buenos Aires?
No. SOMOS DER is based in Buenos Aires, so there are no travel or transport costs inside the City. You pay the plan and, if you need them, extra operators or a supervisor.
Does it work for an international congress with attendees from abroad?
Yes. Each attendee gets a QR code by email and shows it on the phone or printed. Before the event you see the delivery status of every email and resend the code to anyone who did not get it, and at the door staff can search by name for anyone who cannot find it.
Can I use it at the CEC, at La Rural or at a hotel?
Yes. PASE runs in the phone browser with no app to install, so it does not depend on the venue. What you coordinate with each venue is the number of doors, where the desks go and a stable connection.
Do I need internet at the venue?
Yes. PASE validates online so every door stays in sync and nobody gets in twice. In large halls, ask the venue for a stable connection and bring backup mobile data.
How much does it cost and how fast is the quote?
Base from USD 600 for up to 500 attendees, Pro from USD 1,500 for 500 to 2,000 attendees and Enterprise quoted for more than 2,000. It is invoiced in Argentine pesos at the exchange rate of the day, and the quote arrives within 24 business hours.
